Forward Gmail to Hushdesk

Forward a personal Gmail support inbox to Hushdesk. Hushdesk catches Gmail's confirmation code for you, so the whole setup takes about five minutes.

This guide is for a personal @gmail.com support inbox. If your support address uses your own domain on Google, follow Forward Google Workspace to Hushdesk instead.

Before you start

  • Who can do this: a Hushdesk owner or admin, signed in to Gmail as the support mailbox.
  • Plan: all plans.
  • What you need: your support address already added under Settings > Email (see Connect your support email).
  • Time: about five minutes.

Step by step

  1. In Hushdesk, open your address under Settings > Email and copy the forwarding address in step 2.
  2. Under Where is this mailbox?, pick Gmail. The button Open Gmail forwarding settings opens the right Gmail page.
  3. In Gmail, signed in as your support address, open Settings (the gear) and choose See all settings.
  4. Open the Forwarding and POP/IMAP tab and click Add a forwarding address.
  5. Paste the forwarding address, click Next, then Proceed and OK.
  6. Gmail emails a confirmation code to that address. In Hushdesk it appears within seconds under Confirmation arrived, with a copy button. Copy it into Gmail and click Verify.
  7. Choose Forward a copy of incoming mail to your forwarding address, keep Gmail's copy in the Inbox, and click Save Changes at the bottom.
  8. Back in Hushdesk, press Send a test email in step 3.

What happens next

While Gmail's code is on its way, Hushdesk shows Waiting for Gmail’s confirmation code. It shows up here by itself. Once the test comes back, step 3 says Forwarding works. with the time it arrived.

From then on, each email to your Gmail address also arrives in Hushdesk as a ticket. Gmail keeps its own copy if you chose that option.

About replies

Because only Gmail may send as @gmail.com, replies from Hushdesk go out from our shared sending address with your store name. When customers answer, the reply comes back into the same ticket. If you later move support to your own domain, replies can come from that address instead.

Tips

  • Leave Keep Gmail's copy in the Inbox selected. It costs nothing and keeps a backup.
  • Once the code has been used, press Hide next to it to tidy the page.
  • Gmail filters can stop forwarding for some emails. If you use filters that archive or delete mail, check they do not catch customer emails.

Troubleshooting

The confirmation code never appears

Check that you pasted the forwarding address exactly, with no spaces. Gmail sends the code only once per request; remove the address in Gmail and add it again to send a new one.

The test email does not come back

Forwarding is probably not switched on yet. In Gmail, make sure Forward a copy of incoming mail to is selected and you clicked Save Changes. See Troubleshoot email forwarding.

"Email sending is not connected on this server yet. Send any email to your support address instead."

This Hushdesk server cannot send the test. Send an email to your Gmail address from another account; if it appears in Hushdesk, forwarding works.

How do I forward my Gmail to Hushdesk?

In Gmail open Settings, See all settings, then Forwarding and POP/IMAP. Click Add a forwarding address, paste your Hushdesk forwarding address and confirm. Copy the code that appears in Hushdesk into Gmail, choose Forward a copy of incoming mail and save. It takes about five minutes.

Where do I find the Gmail forwarding confirmation code?

You do not need to look for it. Gmail sends the code to your Hushdesk forwarding address, and Hushdesk shows it on the setup page within a few seconds, with a copy button. Paste it into Gmail and click Verify. The code never becomes a ticket in your inbox.

Will Gmail keep a copy of my support emails?

Yes, if you pick Keep Gmail's copy in the Inbox when you switch on forwarding. We recommend it, so the original mailbox still has everything. Answer customers from Hushdesk, though, so replies thread into the right ticket and your team can see them.

Can replies come from my gmail.com address?

No. Only Gmail itself may send email as an @gmail.com address, so Hushdesk sends your replies from its shared address with your store name, and customers' answers still come back to you. Moving to your own domain, such as support@yourstore.com, lets replies come from that address.

Why does Gmail not show a Forwarding option?

In a personal Gmail account the Forwarding and POP/IMAP tab is under See all settings. If you use Gmail with your own domain through Google Workspace, an admin may have turned forwarding off. See the Google Workspace guide for how your admin can allow it.
