How email forwarding to a helpdesk works

Forwarding is the one method every email host supports, which is why it works with Gmail, Outlook and a small web host alike.

Set up email forwarding for your provider

These are the same steps the Hushdesk setup wizard shows, where your real forwarding address is filled in and ready to copy.

Forward Gmail to Hushdesk

A personal @gmail.com inbox

    Sign in to Gmail as your support address, open Settings (the gear) and choose See all settings.

    Open the Forwarding and POP/IMAP tab and click Add a forwarding address.

    Paste your Hushdesk forwarding address, click Next, then Proceed and OK.

    Gmail emails a confirmation code to that address. It appears in the Hushdesk setup wizard within a few seconds: copy it into Gmail and click Verify.

    Choose Forward a copy of incoming mail to your Hushdesk forwarding address, keep Gmail’s copy in the Inbox, and click Save Changes at the bottom.

Gmail sends a confirmation to your forwarding address before it starts forwarding. You do not need to dig for it: Hushdesk catches it and shows the code in the setup wizard.

Check that forwarding works

Click Send a test email. Hushdesk mails a short test to your support address; if forwarding is on, it comes straight back and the step turns green. The test never becomes a ticket.

Later on, Settings shows when the last customer email arrived, so a forward that someone switched off is easy to spot.

Sending

Send replies from your own address with DKIM and Return-Path

Receiving works the moment forwarding is on. Sending as support@yourstore.com takes two DNS records, and it is optional.

Before your domain is verified

Replies go from a Hushdesk sending address (yourstore@mail.hushdesk.tech) with your store’s name as the sender. The Reply-To points back at Hushdesk, so the customer’s answer still lands in the same ticket.

After it is verified

Replies go out as support@yourstore.com, signed for your domain so they land in the inbox rather than spam. Hushdesk counts the domain as verified once the DKIM and Return-Path records check out.

The live DNS check

One click looks your domain up and reports DKIM, Return-Path, SPF and DMARC, with advice when a record is missing or there are two SPF records.

Free addresses such as @gmail.com, @outlook.com or @zoho.com cannot be verified by any helpdesk, because only those providers may send as them. Replies come from the Hushdesk address with your store’s name instead.

How email threading keeps one conversation per issue

Every incoming email is matched in this order. The first match wins.

    Reply headers

    The In-Reply-To and References headers point at a message Hushdesk already has. This is how email programs mark a reply.

  2. Check 2

    Ticket tag in the reply address

    Replies go out with a Reply-To address that carries a short ticket tag, so the answer finds its ticket even if headers were stripped.

  3. Check 3

    Same subject, same sender, 7 days

    If a customer writes again with the same subject (ignoring Re: and Fwd:) within seven days, it joins that conversation.

  4. Fallback

    Otherwise, a new ticket

    Only when nothing matches does Hushdesk open a new ticket, with the customer’s profile beside it.

Built-in protection

  • No mail loops

    Out-of-office replies, bounces and Hushdesk’s own outgoing mail are recognised and never become tickets, so two autoresponders cannot ping-pong.

  • No duplicate tickets

    If an email is delivered twice, its Message-ID gives it away and the second copy is ignored.

  • Confirmation codes stay out of the inbox

    Gmail and Zoho “confirm forwarding” emails are lifted into the setup wizard as a code to copy, never shown as customer tickets.

Email forwarding: questions and answers

How do I forward Gmail to a helpdesk?

In Gmail, open Settings, See all settings, then Forwarding and POP/IMAP, and add your Hushdesk forwarding address. Gmail emails a confirmation code to that address; Hushdesk shows it in the setup wizard within seconds. Paste it into Gmail, choose to forward a copy of incoming mail, and save.

How do I forward Outlook or Microsoft 365 email to Hushdesk?

In Outlook on the web, open Settings, Mail, Forwarding, turn on Enable forwarding, paste your Hushdesk forwarding address and tick Keep a copy of forwarded messages. Microsoft 365 blocks forwarding to outside addresses by default, so an admin may first need to allow it in the outbound anti-spam policy.

Why is Gmail forwarding greyed out in Google Workspace?

Your Google Workspace admin has turned off automatic forwarding. They can allow it in the Admin console under Apps, Google Workspace, Gmail, End user access, Automatic forwarding. If your support address is a Google Group rather than a mailbox, add the Hushdesk forwarding address as a member of the group instead.

Do I need to give Hushdesk my email password?

No. Hushdesk works by forwarding: your mailbox sends a copy of incoming mail to your private Hushdesk forwarding address. Hushdesk never signs in to your mailbox and never asks for a password or app password, so it only ever sees the messages you forward to it.

Will forwarding to Hushdesk remove emails from my inbox?

No, as long as you keep a copy in your mailbox, which every Hushdesk guide tells you to do. Gmail, Outlook and Zoho each have a keep-a-copy option. Your original mailbox stays a complete archive, while Hushdesk receives its own copy of each message to turn into tickets.

Can customers get replies from my own support address?

Yes, when your support address is on your own domain. Add the DKIM and Return-Path records Hushdesk gives you, and once the check passes, replies go out as support@yourstore.com. Until then they go from a Hushdesk sending address that shows your store’s name, and customer answers still come back to the ticket.

Why can’t Hushdesk send as my @gmail.com address?

Only Google may send mail as a gmail.com address, so no helpdesk can verify it. Hushdesk sends your replies from a shared Hushdesk address with your store’s name, and customer answers still return to the same ticket. Moving support to your own domain, such as support@yourstore.com, lets replies come from that address.

Which DNS records does Hushdesk need for email?

Hushdesk needs a DKIM record (TXT) that proves the email is yours and a Return-Path record (CNAME) that handles bounces. Add them where you manage DNS for your domain, such as your registrar, Shopify domains or Cloudflare. The live check in Hushdesk also reports SPF and DMARC, so you see the full picture.

How does Hushdesk keep email replies in the same ticket?

Hushdesk matches each incoming email in order: first by the In-Reply-To and References headers, then by a ticket tag in the reply address, then by the same subject from the same sender within seven days. Only when nothing matches does it open a new ticket, so replies land in the existing conversation.

How do I know email forwarding is working?

Use the Check it works step in the setup wizard. Hushdesk sends a short test email to your support address; if forwarding is on, it comes straight back and the step turns green. Settings also shows when the last real customer email arrived, so a forward that breaks later is easy to spot.

Does Hushdesk stop auto-replies and email loops?

Yes. Hushdesk recognises out-of-office replies, bounces and its own outgoing mail and never turns them into tickets, so two autoresponders cannot reply to each other forever. If an email is delivered twice, the duplicate is recognised by its Message-ID and ignored instead of opening a second ticket.

Does Hushdesk work with Zoho Mail and Hostinger email?

Yes. In Zoho Mail, add the forwarding address under Settings, Mail Forwarding and POP/IMAP, then enter the verification code Hushdesk shows. In Hostinger’s hPanel, open Emails, pick your domain, open Forwarders and create one from your support address to the Hushdesk address. cPanel hosts work the same way.
