Delete customers safely
Remove customers who have no tickets, such as test or duplicate profiles. Customers with ticket history are always kept so nothing is lost.
Last updated 2 min read
Over time, the Customers list collects test profiles and duplicates. You can remove them, and Hushdesk protects anyone with ticket history.
Before you start
- Who can do this: owners and admins.
- Plan: all plans.
Step by step
- Open Customers.
- Search to narrow the list, for example "test".
- Tick each customer to remove (Select …), or Select all customers on this page.
- Press Delete.
- Read the dialog: "Customers with tickets are kept, so their history stays intact. Only customers without any tickets are deleted."
- Confirm.
What happens next
Customers without tickets are deleted. Anyone with tickets is kept, and the message tells you how many were kept. The deletion is recorded in the audit log with how many were deleted and kept.
What is and is not deleted
| Customer | Result |
|---|---|
| No tickets | Deleted |
| One or more tickets | Kept |
| Up to 500 per action | Allowed |
A tidy-up routine
- Search for test addresses and remove them after launch.
- Search for your own team's addresses used for testing.
- Leave real customers alone, even with one old ticket; their history matters for reports.
Why customers with tickets are kept
A ticket without its customer would lose its context: reports would miss who wrote, the timeline would break and future emails from the same address would start a fresh profile with no history. Keeping anyone with tickets avoids all of that. Test profiles you created yourself usually have no tickets, so they can be removed safely.
Before you delete
- Search carefully and check the Tickets column for each customer you selected.
- Remember that rules, views and reports are not affected by deleting customers without tickets.
- If a customer asks for their data to be removed, contact support instead of deleting the profile, because profiles with tickets cannot be deleted here.
Tips
- Export your data before a big clean-up if you want a record. See Export your data.
- Use the Tickets column, sorted, to spot customers with no tickets quickly.
- Remember that customers reappear if they write in again.
- Do clean-ups in one sitting and note them in your team channel, so nobody wonders where a test profile went.
Troubleshooting
"Only admins can delete customers"
Ask an owner or admin.
"Invalid selection"
Select between 1 and 500 customers.
Some customers were not deleted
They have tickets, so they were kept on purpose.
Frequently asked questions
Can I delete a customer who has tickets?
No. Customers with any ticket history are always kept, so their conversations stay intact. When you delete a selection, Hushdesk deletes only the customers without tickets and tells you how many it kept. This protects your history and your reports.
Who can delete customers in Hushdesk?
Owners and admins. Agents and viewers can find and open customers, and agents can add and edit them, but the delete option asks for an admin. Every deletion is recorded in the audit log with the number deleted and the number kept.
How do I delete several customers at once?
In Customers, tick each customer or use Select all customers on this page, then press Delete and confirm. You can delete up to 500 at a time. Search first, for example for test, to select only the profiles you want to remove.
Can I undo deleting a customer?
No. Deleted customers are removed for good, which is why only customers without tickets can be deleted. If you might need one again, leave it in place. Exporting your data first gives you a copy if you want a record.
How do I handle a customer who asks to be forgotten?
Customers with tickets cannot be deleted from the Customers list today. Contact support with the customer's email address so our team can help with the request. Keep the request in an internal note so you can show when it was handled.
