Find a customer in the Customers list

Search everyone who has contacted you by name, email or phone, sort by name, tickets or date, and page through the list 20, 50 or 100 at a time.

The Customers area lists everyone who has contacted you or ordered from you. It is the quickest way to find a person and everything about them.

Before you start

  • Who can do this: everyone.
  • Plan: all plans.

Step by step

  1. Open Customers from the area switcher.
  2. Type in Search name, email, phone… to filter.
  3. Press a column heading to sort: Name, Email, Tickets, Created or Last updated. Press again to reverse.
  4. Choose how many to show with Customers per page: 20, 50 or 100.
  5. Use Previous page and Next page to move through the list.
  6. Press a customer to open their page. See Read a customer's profile.

What happens next

The list shows each customer's name, email, number of tickets and dates. The footer reads, for example, "Showing 1–50 of 1,240".

If nothing matches, the page says No customer matches: "Try a name, an email or a phone number." In a new workspace, it says No customers yet: "Customers appear when they write in or order, or add one yourself."

From a ticket to the customer

You rarely need to search. In any ticket, press the customer's name in the sidebar to open their full page with every ticket and order. Use the Customers list when the person has not written in recently, or when you are looking someone up by phone number during a call.

Tips

  • Search by phone number for customers who call; add phone numbers to profiles as you learn them.
  • Sort by Tickets to find your most frequent contacts, often worth a VIP field.
  • From any ticket, press the customer's name to go straight to their page.
  • Sort by Last updated at the start of a shift to see who has been in touch most recently across email and chat.

Troubleshooting

"No customer matches"

Try part of the name or email, or the phone number without spaces.

The same person appears twice

They wrote from two email addresses. Each address is a separate customer today; note the other address in Note about this customer so your team knows.

Frequently asked questions

How do customers get into the Customers list?

Automatically when they write in by email or chat, when your store's orders arrive, or when someone on your team adds them with Add customer. Each person appears once, matched by email address, so all their tickets and orders sit together on one customer page.

What can I search for in Customers?

A name, an email address or a phone number, or part of any of them. Type in Search name, email, phone and the list filters as you type. Press Clear search, the cross in the box, to see everyone again.

How do I sort the customer list?

Press a column heading, Name, Email, Tickets, Created or Last updated, to sort by it, and press it again to reverse the order. Sorting by Tickets shows your most frequent contacts first, and Last updated shows who was active most recently.

How many customers can I see on one page?

Choose 20, 50 or 100 per page with Customers per page. The footer shows Showing, for example 1 to 50 of 1,240, with Previous page and Next page buttons. Your search and sort stay the same as you move between pages.

Can viewers see the Customers list?

Yes. Everyone in the workspace can search and open customers, including viewers. Viewers cannot add, edit or delete customers, and only owners and admins can delete. Agents can add customers and edit their phone numbers, notes and fields.
