Refund Shopify orders from your helpdesk, and fix the rest there too

Most support tickets at a Shopify store end with a change to an order. Hushdesk puts refund, cancel, duplicate, address and tag actions on the order card inside the ticket, checks the numbers before anything runs, and writes every change on the conversation.

Every order action, and the guardrails around it

Five actions run from the ticket, right on the order card. Each one shows what will happen before it happens, and leaves a line on the ticket afterwards.

Full and partial refunds

Refund one item, several, or the whole order. Set a quantity for each line and Hushdesk adds up their prices; tick shipping to include it. The money goes back to the original payment method in Shopify.

Guardrails

  • Before you start, the dialog says how much can still be refunded.
  • You can type a different amount, but never more than what is left; Shopify’s own maximum is checked again when the refund runs.
  • A reason is always recorded: damaged item, wrong item sent, not received, size or fit, changed mind, goodwill gesture or other.
  • The customer gets Shopify’s refund receipt by email unless you untick it.

Cancel an order that has not shipped

When a customer ordered the wrong thing or changed their mind in time, cancel from the ticket. The order is cancelled in Shopify, refunded in full, and the items go back into stock.

Guardrails

  • Cancel only appears while the order is unfulfilled. Once it ships, refund or duplicate instead.
  • The dialog states the full refund amount and that stock is put back, before you confirm.
  • Pick a reason: customer asked, wrong item, duplicate order, payment issue, out of stock or other.
  • “Keep the order” sits next to the red button, because a cancellation cannot be undone.

Duplicate as a replacement

Broken in transit, lost by the carrier, wrong size sent: duplicate the order to send it again to the same address. Change the quantities first if only part of it needs replacing.

Guardrails

  • “Free replacement” is ticked by default: a 100% discount, so the customer pays nothing.
  • At least one item must be picked, and you can leave a note on the new order for your warehouse.
  • In Shopify the replacement is created as a draft order tagged helpdesk-duplicate, ready for your team to complete.

Change the shipping address

A customer moved, or typed the wrong postcode. Open Edit, Shipping address on the order card, correct it, and save. The address changes on the order in Shopify before anything is packed.

Guardrails

  • Available only while the order is unfulfilled; after that the menu shows it as shipped.
  • Name, street, city, postcode and country are required, so a half-finished address cannot be saved.
  • The current address is one click to copy, for the times you only need to read it back.

Order tags

Add or remove the order’s tags from the ticket, for example to mark an order that has had a replacement sent, so the next person who opens it sees what happened.

Guardrails

  • Tags are up to 40 characters, and a tag added twice is kept once.
  • Removing a tag is one click on its ×.

Who can change Shopify orders from the helpdesk

Order actions follow the roles in your workspace. Seats are unlimited on every plan, so you can give a part-timer or a founder read-only access without paying per seat.

An order action also has to belong to the ticket: Hushdesk only lets you change an order that belongs to the customer on that ticket. And each action carries a unique key written onto the Shopify order, so a retry after a slow connection never refunds, cancels or duplicates twice.

Audit trail

A clear trail of every order change, on the ticket

When someone asks “did we already refund her?”, the answer is in the conversation itself. Each order action adds one line to the ticket, and you can read those lines in time order between the messages by turning on Show all events.

Who
The teammate who pressed the button, by name.
What
Refunded, cancelled, duplicated, changed the address or updated the tags.
Which order
The order number, and for a duplicate, the new one.
How much and why
Refunds carry the amount and the reason.

If Shopify is still processing a change when the line is written, it ends with “sent to Shopify”, so nobody mistakes a queued refund for a finished one.

Live tracking

Live order tracking with 17TRACK

Shopify gives the order card a carrier and a tracking number. Connect 17TRACK in Settings, Apps with your API key, and the card also shows where the parcel is right now: a plain-words status and the carrier’s latest scan. Each number’s status is kept for 30 minutes, so a busy day of opening tickets does not use up your 17TRACK quota.

What each status means for your reply

Label created
The shop has made a shipping label; the carrier may not have the parcel yet.
In transit
The carrier has it and it is moving. Share the tracking link.
Out for delivery
On a vehicle for delivery. Usually the best answer is “today”.
Ready for pickup
Waiting at a pickup point. Tell the customer where to collect it.
Delivery failed
An attempt did not work. Check the address and the carrier’s next step.
Delivered
The carrier scanned it as delivered. Ask where it was left before re-sending.
Problem with the parcel
An exception at the carrier. A good moment to duplicate or refund.
Not found yet
The number is not in 17TRACK yet, common in the first hours after labelling.

How to refund part of a Shopify order from a ticket

    Open the customer’s ticket. Their Shopify orders are in the sidebar; link the one they are writing about.

    On the order card, press Refund. The dialog shows how much can still be refunded.

  3. 3

    Set the quantity for each item to refund. The amount fills in from their prices.

    Tick Refund shipping if the postage goes back too, or type a different amount.

    Choose a reason, and leave the refund receipt email on unless you will explain it yourself.

    Press Refund. The money goes back to the original payment method, and the ticket records who refunded what.

FAQ

Refunds, cancellations and order edits: questions and answers

How do I refund a Shopify order from my helpdesk?

In Hushdesk, open the customer’s ticket and press Refund on the order card. Set the quantity of each item to refund, add shipping if needed, choose a reason and confirm. The refund goes back to the original payment method and a line on the ticket records who made it.

What is a partial refund in Shopify?

A partial refund returns part of an order’s value instead of all of it, for example one damaged item out of three. In Hushdesk you pick the items and quantities, the amount fills in from their prices, and you can type a different amount up to what is left.

Can I cancel a Shopify order after it has shipped?

Not from Hushdesk: Cancel is only offered while an order is unfulfilled. Cancelling refunds the order in full and puts the stock back. For an order that has already shipped, refund the items instead, or send a replacement with Duplicate if the parcel was lost or damaged.

Does cancelling an order from Hushdesk restock the items?

Yes. When you cancel an unshipped order from the ticket, Hushdesk asks Shopify to refund it in full and return the items to stock, and the dialog says so before you confirm. A cancellation cannot be undone, so “Keep the order” sits right next to the confirm button.

How do I send a free replacement order?

Press Duplicate on the original order, set the quantity of each item to send again, keep Free replacement ticked for a 100% discount, add a note and create it. In Shopify it appears as a draft order tagged helpdesk-duplicate, so your team can find and complete it.

Does Hushdesk work with 17TRACK?

Yes. Paste your 17TRACK API key in Settings, Apps, and each order card shows the parcel’s live status and latest carrier scan beside the tracking number. Each status is kept for 30 minutes per tracking number, so opening tickets does not burn through your 17TRACK quota.

What does “Out for delivery” mean for an order?

“Out for delivery” means the carrier has put the parcel on a vehicle for its final delivery, usually the same day. Hushdesk shows 17TRACK statuses in plain words, including Label created, In transit, Ready for pickup, Delivery failed and Delivered, so agents can answer at a glance.

Can I see who refunded an order?

Yes. Every order action adds a line to the ticket naming the teammate, the order and what changed, such as “Priya refunded $24.00 on #1042 (Damaged item)”. Turn on Show all events in the conversation to read these lines between the messages, in time order.

Can a refund be more than what is left on the order?

No. The refund dialog shows how much can still be refunded before you start, and the amount is checked again against Shopify’s maximum refundable when the refund runs. A refund above that ceiling is refused with a clear message instead of going through.

What happens if the same refund is sent twice?

It runs once. Each order action carries a unique key that Hushdesk writes onto the order in Shopify. If the same action is retried, for example after a slow connection, Hushdesk finds the key and does not refund, cancel or duplicate a second time.

Can I edit the items or prices on a Shopify order from Hushdesk?

Not inside Hushdesk. The Edit menu on the order card has a shortcut, Items and prices in Shopify, that opens Shopify’s own order editor for that order in a new tab. Refunds, cancellations, replacements, address changes and order tags all happen right on the ticket.
